Disbursements and external expenses (bailiff, translation, court fees, subcontracting…) are purchased from vendors. Linked to a matter, they add to its work in progress as soon as the document is released, without waiting for the vendor invoice, and are rebilled to the customer.
- Expense items have a matter entry type (Expense or External Expense) and a matter line family.
- The matter is In Progress.
- Create the purchase order or invoice and enter the Matter No. on the header: the matter’s partner, manager and dimensions are copied.
- Add the expense item lines: the matter and the Matter Line No. are filled in, otherwise choose the matter line.
- Release the document: the expense adds to the matter’s work in progress and shows in the pre-invoicing.
- If an expense must not be rebilled, choose Write Off on the line.
- Post: for an order, Post to Grouping (receipt only, invoiced later with other receipts) or Invoice.
To merge several orders from the same vendor, select them in the list and choose Group. An expense without a purchase document can also be entered in a purchase journal, with the matter and the matter line.
